TITLE: Administrative Assistant
PURPOSE:
This position supports the PAACS US Administrative team, including the CEO, Communications, Donor Relations, and Partnership Development. It also involves working with the PAACS Board of Directors and volunteer leadership.
STATUS: Non-Exempt Role
LOCATION: Remote work within the United States; some travel for annual meetings.
QUALIFICATIONS:
- Compatibility with the Christian purposes and practices of PAACS.
- Administrative skills and prior experience in similar roles.
- Proficiency with desktop publishing and graphic design software (e.g., Microsoft Office, Adobe Creative Cloud, Canva, Adobe Acrobat, Survey Monkey, Doodle).
- Ability to travel domestically for two conferences annually in Chicago.
- Self-starter with experience working effectively in a virtual organization.
- Strong writing, grammar, and editing skills in English.
- Ability to maintain databases, update website information, and learn new technologies.
- Servant leadership qualities and a genuine desire to help others succeed.
RESPONSIBILITIES:
- Support the CEO in working with the Board of Directors, Committees, Surgical Councils, Task Forces, and Partners, ensuring compliance with policies.
- Maintain records of Board members, leadership, and past members.
- Collect documentation from leadership, update organizational documents, and develop meeting materials.
- Manage all aspects of the PAACS Conference and Board meetings, including logistics and onsite coordination.
- Coordinate with the hotel and vendors for events.
- Review and edit minutes, update manuals, and assist in strategic planning.
- Set up virtual meetings and prayer calls, develop agendas, and manage communications.
- Assist in managing communications with donors, develop thank you and fundraising cards, and oversee social media posts.
- Maintain and update the PAACS website.
- Ensure accurate documentation of expenses and manage user accounts in Microsoft 365.
- Proofread and edit correspondence and documents.
- Perform other duties as assigned by the CEO.
