Job summary

Seymour High School seeks an Administrative Assistant to the Principal to support students, staff and the school leadership by maintaining and coordinating the school office services.

Under the direction of the Principal, this role handles typing, correspondence, scheduling, grade recording, and forms processing, ensuring accurate records and smooth daily operations.

12-month contract; salary and work year established by the Board.

Qualifications

  • High School Graduate.
  • Previous secretarial experience is preferred.
  • Such alternatives to the above qualifications as the board may find appropriate and acceptable.

Responsibilities

  • Prepare all material written by the principal for distribution to faculty and non-faculty personnel.
  • Prepare all correspondence from the principal.
  • Keep accurate files of material as directed by the principal.
  • Type all reports as prepared by the principal.
  • Be responsible for the flower fund, ordering and reporting it to the Treasurer for payment.
  • Assist other office personnel in the performance of routine office duties.
  • Assist in recording of all grades, etc., on permanent records.
  • Be responsible for averaging grades and class standings of students at the end of the semester.
  • Arrange appointments for principal with all personnel, students, and visitors.
  • Prepare the Honor Roll at the end of each grading period.
  • Prepare the Failure List at the end of each grading period.
  • Keep an accurate record of absences of faculty and non-teaching personnel and send report to the central office at the end of each month.
  • Serve as receptionist in the main office.
  • Supervise use and operation of the telephone.
  • Assist in preparing tests and materials needed by teachers.
  • Prepare the daily announcements after approval by the principal or the assistant principal.
  • Prepare applications and copy transcripts of students so that these records may be sent to colleges, and keep a record of this information for the Guidance Director.
  • Prepare permanent records for graduating students.
  • Prepare diplomas for graduating students.
  • Record summer school grades.
  • Send requests for grades of new students who enroll during the summer.
  • Send transcripts of former students after receiving requests during the summer.
  • Prepare new locker combinations in locker book, after approval by principal.
  • Prepare schedule of teacher's classes for next school year.
  • Prepare and assemble the faculty reference manual.
  • Perform other duties as assigned by the Principal.

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

High School Graduate

Previous secretarial experience is preferred

LANGUAGE SKILLS:

Ability to read, analyze, and interpret professional journals, technical procedures, or governmental regulations. Ability to write reports, correspondences, and procedure manuals. Ability to effectively present information and respond to questions.

MATHEMATICAL SKILLS:

Ability to apply general mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER SKILLS AND ABILITIES:

Ability to establish and maintain effective working relationships with students, peers, parents and community, and ability to speak clearly and concisely in written or oral communication.
