Qualifications

  • Proficient with email, calendars, Microsoft Office/Google Workspace, spreadsheets, and standard office technology.
  • Ability to work independently and manage multiple priorities.
  • Professional, dependable, proactive, and team-oriented.
  • Event planning or nonprofit experience is a plus.

Responsibilities

  • Manage the President & CEO's calendar, appointments, meetings, and scheduling.
  • Coordinate meetings with clients, vendors, team members, and business partners.
  • Take meeting notes and prepare concise summaries of decisions, next steps, and action items.
  • Maintain and follow up on action-item lists and deadlines.
  • Maintain organized electronic and physical files and company records.
  • Assist with email organization, data entry, spreadsheets, documents, reports, printing, scanning, and filing.
  • Prepare agendas, meeting materials, schedules, and other administrative documents.
  • Assist with scheduling event meetings, consultations, walkthroughs, and internal team activities.
  • Maintain contact information and administrative databases.
  • Assist with office organization, supplies, mail, and general administrative needs.
  • Provide professional communication and administrative support to clients, vendors, and team members as directed.
  • Assist with event-related administrative preparation and follow-up.
  • Support special projects and other duties assigned by the President & CEO.

PART-TIME ADMINISTRATIVE ASSISTANT

Reports To: President & CEO

Schedule: Monday, Wednesday & Friday, 8:00 AM–1:00 PM; one Saturday per month, 8:00 AM–1:00 PM

Hours: Approximately 65 hours/month

POSITION SUMMARY

Divine Events is seeking a reliable, organized, professional, and detail-oriented Part-Time Administrative Assistant to provide administrative and executive support to the President & CEO and assist with the day-to-day operations of the company.

  • Event planning, hospitality, nonprofit, or professional-services experience is a plus.
