Qualifications

  • High School Diploma or GED required; Associate or Bachelor’s degree preferred.
  • Minimum of one year of administrative experience; two years preferred.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Proficiency in Microsoft 365, Adobe, and Outlook.
  • Strong organizational and time management skills; ability to prioritize.
  • Adaptable, able to handle multiple tasks under tight deadlines.
  • Typing speed of 45 WPM with high accuracy preferred.
  • Ability towork effectively with diverse populations.

Responsibilities

  • Provide executive support for the CEO and Leadership team.
  • Prepare board materials, venue coordination, and meeting RSVPs.
  • Draft internal/external reports and memos; compile statistics monthly/quarterly/annual.
  • Assist with HR, Facilities, Programs, and Finance tasks as needed.
  • Attend meetings, take minutes, and support campus events and trainings.
  • Answer phones, greet visitors, and manage office communications.
  • Monitor office supplies and maintain a welcoming office environment.

Job description

Summary: The Administrative Assistant plays a vital role in supporting the CEO and the Organizational Leadership team. This position is responsible for efficiently managing the administrative office, including overseeing office supplies, managing phone communications, and welcoming visitors. The Administrative Assistant ensures smooth day-to-day operations and provides essential support for high-level organizational activities.

CORE RESPONSIBILITIES
Executive Support for the CEO
  1. Facilitate preparation for Board of Directors meetings, including document creation, venue coordination, scheduling virtual meetings, and managing RSVPs.
  2. Assist in preparing internal and external reports, memos, and other formal documents.
  3. Compile and complete statistical reports on a daily, monthly, quarterly, and annual basis.
  4. Perform additional duties as assigned.
Organizational Leadership Team Support
  1. Assist in the preparation of reports and documents as requested by the leadership team including HR, Advancement, Facilities, Programs, and Finance departments.
  2. Attend and take minutes at meetings, including the monthly Management Meeting.
  3. Provide logistical and administrative support for campus-wide events such as fundraisers, employee recognition programs, and training sessions.
  4. Perform additional duties as assigned.
Office Management and Support
  1. Answer phone calls and direct them appropriately with courtesy and professionalism.
  2. Greet visitors, offer hospitality, and notify relevant staff of their guest’s arrival.
  3. Collaborate with Facilities to maintain a clean, organized, and welcoming office environment.
  4. Monitor and manage office supply inventory, ensuring timely orders within budgetary constraints.
  5. Oversee phone systems, including managing outgoing messages and general voicemail.
  6. Perform additional duties as assigned.
QUALIFICATIONS
  1. High School Diploma or GED required; Associate or Bachelor’s degree preferred.
  2. Minimum of one year of experience as an administrative assistant, office manager, or executive assistant; two years preferred
  3. Excellent written and verbal communication skills, with a strong attention to detail.
  4. Proficiency in Microsoft 365 (Word, Excel, PowerPoint), Adobe, and Outlook.
  5. Strong organizational and time management skills, with the ability to prioritize tasks efficiently.
  6. Adaptable, with the ability to handle multiple tasks under tight deadlines.
  7. Proficient typing skills. Minimum of 45 WPM with 95% accuracy preferred.
  8. Demonstrated ability to work effectively with diverse populations, including BIPOC, LGBTQIA+, disabled, and other diverse communities.

Compensation: $20-$23 per hour based on qualifications and experienceBenefits: Benefits include medical, dental, 403(b) retirement plan, life, disability, PTO and ten paid holidays per year.
