Position Overview

The Administrative Assistant is a primarily office-based role responsible for supporting the smooth operation of both our leadership team and our Plano office. This individual will provide administrative support across a range of responsibilities, from assisting senior leadership with scheduling and communications to managing day-to-day office needs. This role also serves as the backup to the executive’s Personal Assistant, and may be called upon to assist with personal-adjacent tasks or errands when coverage is needed. This position requires someone who is highly organized, exercises sound judgment and discretion, and is comfortable adapting to shifting priorities in a fast-paced environment.

Key Responsibilities
Office and Administrative Support
  • Manage and maintain a member of our executive leadership team’s calendar, including scheduling meetings, appointments, and business commitments with accuracy and efficiency.
  • Coordinate domestic and international business travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries for employees.
  • Handle sensitive and confidential information pertaining to business operations and internal communications with absolute discretion.
  • Prepare and organize materials, agendas, and briefings in advance of meetings and business commitments.
  • Assist with special projects, business research, and ad hoc requests as they arise.
  • Liaise with internal team members and external contacts with professionalism and confidentiality.
  • Provide general office support including managing supplies, coordinating deliveries, organizing common areas, and serving as a resource for day-to-day office needs.
  • Assist with office-wide logistics such as meeting room setup, catering coordination, visitor management, and event preparation.
  • Step in to support team members or departments with administrative tasks as business needs require.
Backup and Flex Support
  • Serve as the executive’s Personal Assistant during periods of high volume, stepping in to assist with personal-adjacent tasks and errands as needed.
  • Maintain familiarity with ongoing personal and professional commitments to ensure seamless coverage and continuity of support.
  • Coordinate and manage vendor relationships, including communication, scheduling, service coordination, issue resolution, and follow-up to ensure needs are met efficiently.
Qualifications
  • Two or more years of experience in an administrative, office support, or similar role; experience supporting senior leadership is a plus.
  • Demonstrated ability to handle confidential information with integrity and professionalism.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • High proficiency in Microsoft Office Suite, including Outlook, Teams, Word, and Excel.
  • Availability and flexibility to respond to needs outside of standard business hours when required.
  • Resourceful, solutions-oriented, and highly self-motivated with a team‑first attitude.
