Job summary

HDR is seeking an Office Coordinator to support a team of professionals in a Providence, RI office. You will assist with project documentation, proofreading, budgeting basics, and file management in ProjectWise or SharePoint, while maintaining calendars and coordinating meetings.

The role requires strong verbal and written communication, high organization, confidentiality, and the ability to multitask for multiple managers in a fast-paced environment. Local candidates preferred.

Qualifications

  • Excellent verbal and written communication, including grammar, punctuation and proofreading.
  • Flexibility to prioritize and handle multiple tasks for several managers in a fast-paced environment.
  • Self-motivated, well-organized and detail-oriented.
  • Ability to handle confidential information.
  • Proficiency with MS Office including Word and Outlook.

Responsibilities

  • Assist in compiling project documents, materials and reports.
  • Proofread project documents and reports prepared by others.
  • Monitor budgets and handle basic accounting responsibilities for projects.
  • Manage electronic and printed files in ProjectWise or SharePoint.
  • Answer questions regarding company policies and procedures.
  • Set up and attend meetings; prepare meeting minutes for in-person and virtual meetings.
  • Coordinate meeting facilities and arrangements.
  • Answer phones, route mail, update calendars, schedule meetings, and order supplies.
  • Handle highly sensitive and confidential information professionally.
  • Perform miscellaneous tasks as requested.

The primary duties of the Office Coordinator are a variety of administrative functions for an office of professionals which include the following:

  • Assist in the composure of project documents, materials and reports.
  • Proofread project documents, materials and reports prepared by others.
  • Monitor budgets and handle specific accounting responsibilities including financial tracking of projects and basic progress reporting
  • Manage electronic and printed files in ProjectWise or SharePoint
  • Answer questions relating to company policies and procedures
  • Set up, attend and prepare meeting minutes for in person and virtual meetings
  • Coordinate and manage meeting facilities and arrangements
  • Phone coverage, reading and routing incoming mail, update office calendars, scheduling meetings, and ordering supplies
  • Professionally handle highly sensitive and confidential information.

  • Miscellaneous tasks/projects as requested
