Job summary

HDR in Providence, RI is seeking an Office Coordinator to provide essential administrative support for a professional office environment. You will help with document preparation, proofreading, budget tracking and file management while ensuring smooth meeting coordination and facilities support.

Qualifications

  • High School diploma or equivalent.
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Self-motivated, well-organized and detail-oriented.
  • Ability to handle confidential information.
  • Proficiency with MS Office including Word and Outlook.
  • Active participant in employee-owned culture.

Responsibilities

  • Assist in composing project documents, materials and reports.
  • Proofread project documents, materials and reports prepared by others.
  • Monitor budgets and handle basic accounting responsibilities including financial tracking of projects and progress reporting.
  • Manage electronic and printed files in ProjectWise or SharePoint.
  • Answer questions relating to company policies and procedures.
  • Set up, attend and prepare meeting minutes for in person and virtual meetings.
  • Coordinate and manage meeting facilities and arrangements.
  • Phone coverage, reading and routing incoming mail, update office calendars, scheduling meetings, and ordering supplies.
  • Miscellaneous tasks/projects as requested.

The primary duties of the Office Coordinator are a variety of administrative functions for an office of professionals which include the following:

  • Assist in the composure of project documents, materials and reports.
