Your tasks
- Answer and manage multi-line telephone calls, directing callers to the appropriate staff members.
- Enter employee time records into the accounting system and provide supporting documentation to accounting personnel.
- Greeting and assist clients and visitors in a courteous, professional manner.
- Perform general clerical and administrative duties, including:
- Data entry and typing
- Microsoft Excel and other Microsoft Office applications
- Photocopying and faxing
- Mailing and distribution
- Filing and document organization
- Receive, sign for, and distribute courier-delivered packages.
- Create, format, and modify documents using Microsoft Office, including customer-required reports, forms, and other documentation.
- Research, obtain pricing for, and requisition office supplies.
- Coordinate with vendors and service providers to ensure the proper operation and maintenance of office equipment and services, including photocopiers, fax machines, vending machines, telephones, and related equipment.
- Perform weekly billing activities for completed projects.
- At the direction of the General Managers: schedule and coordinate general meetings and related activities, including:
- Sending meeting invitations
- Reserving meeting rooms and resources
- Coordinating snacks and meals
- Supporting other meeting-related logistics
- Coordinate Travel arrangements, as needed
Your profile
- Strong organizational, administrative skills and communication skills.
- Proficiency with Microsoft Office, particularly Microsoft Excel and Microsoft Word.
- Ability to work independently while also supporting a team environment.
- Ability to learn and effectively use accounting, billing, and operational systems.
- Ability to pass nationwide background check and pre-employment physical.
