About the Role
We are seeking a highly organized, professional, and service-oriented Administrative Assistant to support the day-to-day operations of our growing boutique law firm. This is an excellent opportunity for someone early in their career who is looking to gain experience in a fast-paced office environment while serving as a key member of our administrative team.
The ideal candidate is dependable, detail-oriented, personable, and enjoys helping others. This position will play a central role in ensuring our office operates smoothly and efficiently while providing exceptional support to firm personnel and visitors.
Key Responsibilities
- Answer, screen, and route incoming firm telephone calls
- Manage incoming and outgoing mail, packages, and deliveries
- Collect, organize, and distribute correspondence and deliveries throughout the office
- Monitor and replenish office and kitchen supplies
- Coordinate with vendors regarding office supplies and facilities-related needs
- Assist with conference room setup and office events as needed
- Maintain reception and common areas to ensure a professional appearance
- Support day-to-day administrative and operational activities across the firm
- Assist with filing, document management, data entry, and other clerical tasks
- Provide administrative support to the Director of Operations & IT and other firm leadership as requested
- Handle special projects and additional responsibilities as assigned
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 0-3 years of administrative, customer service, hospitality, or office experience
- Strong verbal and written communication skills
- Professional demeanor and customer-service mindset
- Excellent organizational and time-management abilities
- Strong attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Ability to maintain confidentiality and exercise good judgment
