Job summary

Cherokee Nation Defense Solutions (CNDS) is seeking an Administrative Assistant Support to join our Government team in New Boston, NH, onsite at a US Government Facility. The position requires US Citizenship and an active Secret clearance.

A Bachelor’s Degree and 5–7 years’ experience in a DOW Administrative Assistant role are preferred. Responsibilities include coordinating up to 20 conferences and events annually, managing calendars, preparing memorandums, and supporting travel orders.

Qualifications

  • Bachelor’s Degree required.
  • 5–7 years’ experience in a DOW Administrative Assistant role; Space Force or Air Force experience preferred.
  • Familiar with MilPDS, LeaveWeb, IAO Express, MyFSS, and CitiManager (Credit Cards).
  • Familiar with CSS (Trusted Agent for the Drug Demand Reduction Program).
  • Familiar with Personnel Flight (Evaluations and Retirement paperwork).
  • Ability to manage Outlook calendars and meeting coordination.
  • Ability to manage/maintain SharePoint sites.
  • Must be able to work independently with little management oversight.
  • Excellent organizational, interpersonal and judgement skills.
  • Excellent oral and written communication skills.
  • Proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook).
  • Workspace will be in a US Government Facility with controlled access and/or military installation, full time on-site.
  • Core hours of work are from 0800 to 1600 MST daily; generally available during these core hours.
  • 0–10% travel to Colorado Springs, CO annually.
  • Must pass pre-employment qualifications of Cherokee Federal.

Responsibilities

  • Aiding the Government in organizing up to 20 conferences/events annually.
  • Analyzing special projects and action times to provide administrative support to staff.
  • Reviewing materials submitted for projects to ensure relevance and adherence to procedures.
  • Assisting in creating new administrative policies and procedures up to four times annually.
  • Reviewing action papers and all documentation for style, composition, and grammar; making recommendations and/or corrections.
  • Researching office automation tools and applying techniques to improve administrative practices.
  • Acting as the unit's SharePoint administrator and managing knowledge management requirements.
  • Managing calendars, meetings, and attendees for up to 5 leaders daily.
  • Assisting Government staff in preparing memorandums and other unit correspondence.
  • Assisting in preparing travel orders for leadership personnel.
  • Performs other job-related duties as assigned.

Job description

***As required by our governmental client, this position requires being a US Citizen AND an active Secret clearance.***

Onsite location: US Government Facility in New Boston, NH**

The Administrative Assistant will prepare reports & related administrative duties in accordance with the Commanders' Support Staff Execution, Organization, and Responsibilities and USSF regulations and aid the Government in organizing conferences and events.

Compensation & Benefits

Estimated Starting Salary for Administrative Assistant Support: starts $90,000.

Pay commensurate with experience.

Full-time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice.

Administrative Assistant Support Responsibilities Include
  • Aiding the Government in organizing up to 20 conferences/events annually.
  • Analyzing special projects and action times to provide administrative support to staff.
  • Reviewing materials submitted for projects is related and procedures are met.
  • Assisting in the creation of new administrative policies and procedures for the unit up to 4 times annually.
  • Reviewing action papers and all documentation for style, composition, and grammar accuracy; making recommendations and/or corrections based on content, accuracy, grammar.
  • Researching office automation tools, read vendor manuals and applies techniques to developing new approaches pertaining to administrative practices and clerical procedures for processing and routing of correspondence.
  • Acting as the unit's SharePoint administrator; manages unit's knowledge management requirements.
  • Managing collaboration and workflow/tasking software/processes and worksheets.
  • Managing calendars, meetings, read ahead material; attendees for up to 5 assigned leaders daily.
  • Assisting Government staff in preparing memorandums and all other unit level correspondence.
  • Leveraging Department of the Air Force Guidance Memorandum to Air Force Handbook (AFH 33-337), The Tongue and Quill for guidance on reporting reports and correspondence.
  • Assisting the Government in preparing travel orders for leadership personnel.
  • Performs other job-related duties as assigned.
Administrative Assistant Support Experience, Education, Skills, Abilities Requested
