Henry County Water Authority in McDonough, GA is seeking an Administrative Assistant who supports the CFO and division staff with specialized records, reports, and files. The role requires strong organizational skills and attention to detail in a fast-paced government-administration setting.

You will perform general office duties, coordinate correspondence, manage data entry, process approvals for training, and assist with vendor communications and petty cash administration.

Qualifications

  • High school diploma or GED; and 1–2 years related experience and/or training.
  • Equivalent combination of education and experience considered.
  • Administrative support experience preferred.

Responsibilities

  • Perform general administrative duties including typing, proofreading, and distributing documents.
  • Act as liaison between the CFO and other managers; route incoming correspondence and reports.
  • Support all divisions with data entry and tracking.
  • Order office supplies and manage procurement within division budgets.
  • Assist with training registrations, lodging, and reimbursements.
  • Reconcile P-card and WEX transactions and prepare reports.
  • Post solicitations to Bid Net and the Georgia Procurement Registry.
  • Handle mail distribution and tracking of utility POs.
  • Maintain petty cash and postage supplies for the Authority.
  • Support Charitable Assistance programs and reporting.
  • Create reports and analytics to communicate data.
  • Participate in APC group and coordinate special events.

Summary:

The individual in this position works under the general supervision of the CFO. Performs various specialized and responsible administrative support duties for each department within the Division; creates and maintains specialized records, reports, and files; interacts with department and Division staff and staff of other departments on technical matters; and performs related duties as assigned.

Essential Duties and Responsibilities:

  • Performs general administrative and office duties, including typing, proofreading, and distributing memoranda, letters, and other documents and reports.
  • Responsible for acting as a liaison in coordinating matters between the CFO and other managers orsupervisors. Duties include appropriately identifying and routing incoming correspondence, reports,requests, and instructions.
  • Supports all departments in the Division with data entry and tracking.
  • Orders office supplies for departments within the Division.
  • Responsible for assisting staff with approval requests and registration for training and conferences. Dutiesinclude verifying that appropriate documentation accompanies request forms, processing registrationforms, assisting with lodging and processing methods of payment or reimbursements in a timely manner,and actively following up with staff/venues/vendors.
  • Assists with the regular reconciliation of P-card and WEX (Fleet) purchase transactions, including evaluatingfor discrepancies and preparing monthly and annual reports.
  • Posts solicitations to Bid Net and the Georgia Procurement Registry.
  • Contacts vendors with award letters or thank you responses as directed.
  • Sorts and distributes incoming Division mail to the appropriate department.
  • Assists with tracking utility POs and reporting data as needed.
  • Administers Finance’s petty cash reimbursement process, including adhering to the establishedreimbursement limit, appropriately documenting and coding entries, obtaining proper documentation forany reimbursements, and managing the cash drawer with strict attention to detail.
  • Assists with maintaining supplies and credits for the Authority’s postage machine.
  • Assists with Authority’s Charitable Assistance program, including employee contribution and Authorityremittance tracking and reporting.
  • Creates reports, spreadsheets, and other analytical documents in order to reconcile, display, andcommunicate various data.
  • Conducts, compiles, and presents research as directed in support of Division initiatives.
  • Participates in the Authority’s APC group.
  • Coordinates and participates in special events for the Division and/or the departments therein as needed.
Education and/or Experience:

High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registrations:

Valid Georgia Driver's License.
