Administrative Assistant Job Responsibilities:
- Provides administrative support to ensure efficient operation of office.
- Answers phone calls, schedules meetings and supports visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating
- needed supplies, placing and expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
- Provide clerical and administrative support to Human Resources executives
- Process documentation and prepare reports relating to personnel activities (staffing recruitment, training, grievances, performance evaluations etc)
- Coordinate HR projects (meetings, training, surveys etc) and take minutes
- Deal with employee requests regarding human resources issues, rules, and regulations
- Assist our recruiters to source candidates and update our database
- Coordinate communication with candidates and schedule interviews
- Responsible for working with new hires in the pre-boarding and onboarding process
- Completes employment eligibility documentation, including I-9’s and E-Verify in a timely manner
- Conduct initial orientation to newly hired employees
- Handle employment-related inquiries from employees, and supervisors, referring complex
- and/or sensitive matters to the appropriate HR contact
- Tracks evaluation progress and provides reminders and assistance completing documents

Education and Experience Requirements:
- High school diploma or equivalent education required
- 3 years of administrative assistant experience
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook,
Microsoft PowerPoint and Adobe Acrobat
Valid driver’s license and current automobile insurance
