Job summary

Keystone Cooperative in Eau Claire, WI is seeking an administrative assistant to provide customer service and branch support from approximately 8 am to 4:30 pm with some flexibility.

You will handle accounts receivable, process payments, file contracts, answer phones, manage mail, and assist with special projects while maintaining accuracy in a fast-paced environment. A high school diploma and 1–2 years related experience are preferred.

Responsibilities

  • Receive and disperse a significant volume of phone calls in an efficient, courteous, and professional manner.
  • Handle station duties such as empty trash, clean pumps, supply towels and washer fluid, inventory, fill propane cylinders, clean office/bathrooms, stock and order supplies.
  • Actively communicate with customers to adjust billing, answer questions, etc.
  • Process payments, orders, and requests accurately.
  • Reconcile, process and file necessary paperwork.
  • Process electronic files via email.
  • Compile and submit finalized documentation.
  • Download reports.
  • Perform general clerical duties including filing, photocopying, faxing, typing, and mailing.
  • Balance cash drawer daily.
  • Compile, sort, and distribute daily mail. Receive courier deliveries. Sends out branch mail weekly.
  • Responsible for purchasing general office and break room supplies.
  • Assist with special projects as needed.
  • Performs other duties as assigned.

Position Overview

The purpose of this role is to provide customer service and administrative assistance for the branch. This role will assist with accounts receivables as well as verifying, filing, and responding to customer contracts with urgency. Other standard clerical duties such as answering phone calls and directing them to the correct individuals, sorting mail and assisting with other duties as needed.

Duties and Responsibilities

Include but are not limited to:

Education and Experience
  • High school diploma and one to two years related experience and/or training; or equivalent combination of education and experience.
