Job summary

Delaware State University is seeking an Administrative Support role to assist the College of Business, Dean’s Office and Hospitality Tourism Management Department. The successful candidate will handle travel arrangements, scheduling, correspondence, budgeting support, and data maintenance.

Requires a High School Diploma, three years of experience as an administrative assistant, and proficiency with Microsoft Office and Banner.

Qualifications

  • Technical experience with Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook) and Banner.

Responsibilities

  • Assist in arranging travel, appointments and conferences.
  • Compose and/or edit correspondence and reports.
  • Perform administrative tasks and maintain day-to-day office activities.
  • Input departmental and grant requisitions.
  • Coordinate department activities.
  • Maintain records and data related to the department.
  • Monitor departmental and grant budgets.
  • Assist in annual review and submission process of proposed budgets.
  • Oversee day-to-day operations of Innovation Café including accounting processes.
  • Answer and direct phone calls.
  • Organize and schedule meetings and appointments.
  • Assist with promotion and recruitment activities.
  • Maintain contact lists.
  • Provide general support to visitors, students, faculty, and staff.
  • Ensure operation of equipment by performing preventive maintenance and maintaining inventories.
  • Receive, sort and distribute mail.
  • Other duties as assigned.

Job description

Under administrative supervision, provide administrative support to the College of Business, Dean’s Office and Hospitality Tourism Management Department.

  1. Assist in arranging travel, appointments and conferences
  2. Composition and/or editing of correspondence and reports
  3. Perform administrative tasks and maintaining day-to-day office activities
  4. Input departmental and grant requisitions
  5. Coordinate department activities
  6. Maintain records and data related
  7. Monitor departmental and grant budgets.
  8. Assist in achieving department objectives
  9. Work with Business and Finance to post and reconcile outstanding requisitions and purchase orders.
  10. Assist in the annual review and submission process of proposed budgets from departments under the college
  11. Closely monitor and oversee the day to day operation of the Innovation Café including accounting processes and procedures
  12. Answer and direct phone calls
  13. Organize and schedule meetings and appointments
  14. Assist with the promotion and recruitment activities
  15. Maintain contact lists
  16. Provide general support to visitors, students, faculty, and staff
  17. Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; and maintaining equipment inventories
  18. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  19. Receive, sort and distribute the mail
  20. Other duties as assigned
Required Knowledge, Skills, and Abilities:

The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:

  1. Administrative ability.
  2. Must be experienced in all aspects of administrative assistant duties.
  3. Technical experience with Microsoft Suite (Word, Excel, PowerPoint, Publisher, Outlook) and Banner.
  4. Excellent time management skills and ability to multi-task and prioritize work
  1. Education: High School Diploma
  2. Successful experience: Three years in field of administrative assistant preferably at a college or university.
