Under administrative supervision, provide administrative support to the College of Business, Dean’s Office and Hospitality Tourism Management Department.
- Assist in arranging travel, appointments and conferences
- Composition and/or editing of correspondence and reports
- Perform administrative tasks and maintaining day-to-day office activities
- Input departmental and grant requisitions
- Coordinate department activities
- Maintain records and data related
- Monitor departmental and grant budgets.
- Assist in achieving department objectives
- Work with Business and Finance to post and reconcile outstanding requisitions and purchase orders.
- Assist in the annual review and submission process of proposed budgets from departments under the college
- Closely monitor and oversee the day to day operation of the Innovation Café including accounting processes and procedures
- Answer and direct phone calls
- Organize and schedule meetings and appointments
- Assist with the promotion and recruitment activities
- Maintain contact lists
- Provide general support to visitors, students, faculty, and staff
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; and maintaining equipment inventories
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Receive, sort and distribute the mail
- Other duties as assigned
Required Knowledge, Skills, and Abilities:
The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:
- Administrative ability.
- Must be experienced in all aspects of administrative assistant duties.
- Technical experience with Microsoft Suite (Word, Excel, PowerPoint, Publisher, Outlook) and Banner.
- Excellent time management skills and ability to multi-task and prioritize work
- Education: High School Diploma
- Successful experience: Three years in field of administrative assistant preferably at a college or university.
