Mid-Hudson Library System Administrative Assistant

Summary: Provide assistance to the Executive Director by coordinating activities related to the MHLS Board of Trustees and Directors Association; events planning; maintenance of member information; creating and maintaining a favorable public image for the library system; and assistance with general office duties. Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Support MHLS Board of Trustees and Directors Association
  • Support Member Information Online Calendar & Auditorium Booking
  • Perform General Office Duties
  • Maintain awareness of and assist in managing the Executive Director’s schedule
  • Produce and manage documents, presentations, worksheets, and charts using office software
  • File and retrieve documents and reports; maintain filing systems
  • Answer calls, greet visitors, and handle inquiries
  • Perform clerical tasks such as photocopying, faxing, mailing, and managing office supplies
  • Participate in green/sustainable initiatives
  • Assist Business Office Staff as needed
Qualifications:
  • Adaptability to changing work environments
  • Intermediate skills in Microsoft Office Suite; basic WordPress skills; ability to create and edit PDFs in Adobe Acrobat
  • Strong customer service skills
  • Effective oral and written communication skills
  • Attention to detail and quality
  • Associate’s degree in Arts or Business or related experience
  • Notary Public (preferred)
