Qualifications

  • 1+ years of administrative, office, receptionist, or related experience preferred.
  • Highly organized with excellent attention to detail and follow-through.
  • Strong verbal and written communication skills with a professional telephone manner.
  • Comfortable interacting with customers, vendors, employees, and internal teams.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Word, Excel, and Adobe; able to learn new software.
  • Ability to work independently while collaborating with Finance and Operations.

Responsibilities

  • Serve as the primary point of contact for the office, answering and directing calls and assisting customers, vendors, and visitors.
  • Handle phone and email communication with customers and vendors, routing inquiries appropriately.
  • Provide daily administrative support to Finance and Operations to maintain workflow.
  • Coordinate COI requests, including tracking and distribution of certificates.
  • Order office and operational supplies and maintain inventory.
  • Enter receipts, expenses, and related data into the internal system.
  • Assist with onboarding new customers and vendors with required documentation.
  • Support employee health and dental benefits administration, including renewals and changes.
  • Maintain organized files and records for easy retrieval.
  • Assist with general office tasks and special projects as needed.

Position Overview

Clearcom Wireless Services, LLC, a growing telecommunications contracting company specializing in the installation, expansion, and maintenance of wireless communications infrastructure, is seeking an organized, detail-oriented Administrative Assistant to join our Fairfield, NJ office. This position provides essential administrative support across the organization and serves as a key point of contact for customers, vendors, and employees. The Administrative Assistant collaborates closely with Finance, Operations, and Field teams to ensure smooth day-to-day processes. Must be legally authorized to work in the United States.

Responsibilities
  • Serve as the primary point of contact for the office, answering and directing incoming calls and assisting customers, vendors, and visitors professionally.
  • Handle phone and email communication with customers and vendors, providing information and routing inquiries appropriately.
  • Provide daily administrative support to Finance and Operations departments to maintain workflow efficiency.
  • Coordinate Certificate of Insurance (COI) requests, including requesting, tracking, and distributing certificates as needed.
  • Order office and operational supplies, maintaining appropriate inventory levels.
  • Accurately enter receipts, expenses, and related data into the company’s internal management system.
  • Assist with onboarding new customers and vendors by gathering and maintaining required documentation.
  • Support employee health and dental benefit administration, including renewals, additions, and cancellations.
  • Maintain organized files, records, and administrative documentation for easy retrieval.
  • Assist with general office administration and other tasks or projects as needed.
Required Experience/Skills
  • 1+ years of administrative, office, receptionist, or related experience preferred.
  • Highly organized with excellent attention to detail and follow-through.
  • Strong verbal and written communication skills with a professional and personable telephone manner.
  • Comfortable interacting with customers, vendors, employees, and internal teams.
  • Ability to manage multiple priorities and stay organized in a fast-paced environment.
  • Proficiency with Microsoft Word, Excel, and Adobe; ability to learn new software and processes.
  • Ability to work independently while collaborating closely with Finance and Operations teams.
Preferred Experience/Skills
  • Experience in construction, telecommunications, or other field-service industries is a plus but not required.
  • Familiarity with administrative processes related to insurance certificates and benefits administration.
  • Strong problem-solving skills and adaptability to changing priorities.
  • Knowledge of basic accounting or expense entry processes.
Education Requirements
  • High school diploma or equivalent required.
  • Associate degree in Business Administration or related field preferred.
  • Additional coursework or certification in office administration is a plus.
  • Demonstrated proficiency in computer applications and office software.
  • Commitment to ongoing learning and professional development.
