Job description

We're hiring an Administrative Assistant to support a senior group or executive within a top-tier global financial firm's Global Banking & Markets division in Boston, MA. Great opportunity for a polished, detail-oriented professional to gain experience at a leading Wall Street institution.

Location: Boston, MA (fully onsite, 5 days/week)

Contract Length: 6 months (potential for extension or conversion)

Pay: $32/hour (hourly during the contract stage)

Responsibilities:
  • Provide high-level administrative support to a senior group or executive in a complex, fast-paced team environment
  • Coordinate complex, senior-level internal and external meetings and conference calls, managing calendars and prioritizing competing requests and related logistics
  • Field a high volume of calls and correspondence, interacting with senior business leaders and clients in a professional and effective manner
  • Support internal and external managers or clients, including responding to and following up on client requests
  • Coordinate a high volume of domestic and international travel arrangements and process related expense reports
  • Prepare and distribute divisional correspondence, memos, letters, reports, and other business documents
  • Support onboarding and offboarding processes, including new hires, transfers, and terminations
  • Manage monthly invoices, coordinate payment, and order/maintain office supplies
  • Handle general administrative duties (copying, filing, archiving) and support ad-hoc projects, committees, or group events
Requirements:
  • 5+ years of administrative or executive support experience preferred
  • Excellent interpersonal and communication skills, with high attention to detail
  • Comfortable handling highly sensitive and confidential information with the highest degree of integrity, professionalism, and discretion
  • Able to juggle competing priorities in a fast-paced, deadline-driven, high-pressure environment
  • Strong problem-solving skills, sound independent judgment, and the ability to adapt to unexpected events
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • A self-starter who anticipates needs, solves problems independently, and follows through with a strong sense of urgency
  • Comfortable working with people at all organizational levels; team player with a positive, professional attitude
