Position Overview
We are seeking an experienced Senior Executive Assistant to provide comprehensive administrative and logistical support to senior leadership. This role requires exceptional organization, discretion, judgment, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate will be highly proactive, detail-oriented, and comfortable serving as a primary point of contact for internal and external stakeholders. This individual will manage complex calendars, coordinate meetings and travel, prepare leadership materials, and ensure executives are well-prepared for daily commitments and strategic priorities.
Key Responsibilities
- Provide comprehensive administrative and logistical support to senior executives and leadership.
- Manage complex executive calendars, including scheduling meetings, appointments, events, and recurring commitments.
- Coordinate frequent schedule changes and reprioritize competing requests based on urgency and business needs.
- Serve as a primary liaison for internal and external stakeholders, including leadership, employees, clients, partners, and other organizations.
- Ensure executives are fully prepared for meetings, presentations, events, and other commitments.
- Monitor and manage executive email correspondence, follow-ups, and action items.
- Coordinate domestic and international travel arrangements, itineraries, accommodations, and related logistics.
- Plan and coordinate meetings, events, conferences, and leadership activities.
- Prepare presentations, reports, correspondence, agendas, meeting materials, and other documents.
- Conduct research and gather information to support executive priorities and decision-making.
- Monitor budgets, expenses, invoices, and other administrative activities.
- Provide basic technical troubleshooting and support with administrative systems and software.
- Develop a strong understanding of organizational priorities, recurring meetings, and key business activities.
- Quickly learn and apply organizational policies, procedures, and administrative processes.
- Provide day-to-day guidance and support to administrative staff or other assigned personnel, as needed.
- Maintain accurate records and ensure timely completion of administrative tasks and follow-up activities.
- Handle confidential and sensitive information with a high degree of professionalism and discretion.
- Collaborate effectively with colleagues and cross-functional teams to support organizational objectives.
Qualifications
- 5+ years of experience providing executive-level administrative or coordination support.
- Experience supporting a Vice President, Dean, Director, C-suite executive, or other senior leader preferred.
- Exceptional calendar management and scheduling skills.
- Strong organizational skills with the ability to manage multiple priorities and frequent changes.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to interact professionally with individuals at all levels.
- Demonstrated ability to exercise sound judgment and maintain confidentiality.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with calendar management, meeting coordination, travel planning, and document preparation.
- Strong internet research and information-gathering skills.
- Ability to work independently with limited supervision while also functioning effectively as part of a team.
- Strong attention to detail, follow-through, and problem-solving abilities.
