The Panther Group is seeking an Administrative Assistant to support the Office of the Dean at a leading Boston-area university. This is a highly visible, people-oriented position that provides an opportunity to work closely with faculty, staff, and university leadership while gaining valuable experience in a higher education environment. The ideal candidate is a proactive self-starter who enjoys interacting with people, takes ownership of their work, and is always looking for ways to improve processes and add value. This role offers the opportunity to make the position your own while providing backup support to the Executive Assistant and contributing to special projects and events.

About the Role

The Administrative Assistant will provide day-to-day administrative and operational support to the Office of the Dean. This is a front-facing role and serves as an important point of contact for faculty, staff, and occasionally students. Responsibilities will include coordinating meetings and calendars, responding to inquiries, supporting office operations, troubleshooting meeting technology and office equipment, processing purchasing and expense-related activities, maintaining supplies, and assisting with events and special projects. The Administrative Assistant will also provide backup support to the Executive Assistant, including calendar management and administrative projects.

What You'll Do
Administrative & Office Support
  • Provide day-to-day administrative support to the Office of the Dean.
  • Serve as a welcoming and professional first point of contact for faculty, staff, and students.
  • Respond to routine questions and requests, providing information or directing inquiries to the appropriate resource.
  • Schedule and coordinate meetings, appointments, and other activities.
  • Manage email communications and follow up on administrative requests.
  • Order and maintain office supplies and help keep office and kitchenette areas organized and presentable.
  • Maintain and troubleshoot office equipment and meeting technology.
Purchasing & Administrative Operations
  • Generate purchase orders and assist with purchasing processes.
  • Reconcile corporate credit card expenses and related documentation.
  • Track administrative tasks and ensure items are completed accurately and on time.
  • Assist with special projects and other operational needs as assigned.
Events & Projects
  • Assist with planning and coordinating department events and activities.
  • Work with event planners and university staff to support successful events.
  • Take ownership of projects and identify opportunities to improve office processes and efficiency.
Student & Executive Support
  • Assist with hiring and coordinating work-study students during the academic year.
  • Assign schedules and hours and review/approve timesheets.
  • Provide backup calendar management and administrative support to the Executive Assistant.
  • Collaborate with the Executive Assistant on various projects as needed.
What We're Looking For
  • 2+ years of relevant professional administrative experience.
