We are currently assisting our client, with a search for a contract Administrative Assistant.

JOB SUMMARY

Our client seeks a highly organized, proactive, and service-minded Administrative Assistant (AA) to support its leadership and operations teams. Reporting to the Operations Coordinator, this role is integral to ensuring smooth day-to-day activities across the organization by streamlining internal processes, supporting leadership schedules, and executing logistics that enable team-wide effectiveness.

Ideal for an administrative professional with an operations-forward mindset, the AA will thrive on anticipating needs, juggling competing priorities, and fostering a positive, well-run workplace. They will work closely with the Operations Coordinator and other internal stakeholders to plan and execute meetings, employee onboarding, executive presentations, and internal communication efforts.

Key responsibilities include managing calendars, organizing meetings and events, maintaining organizational tools, supporting onboarding logistics, and contributing to a strong and cohesive team culture. This role is well-suited for someone who enjoys coordinating across functions, is skilled at creating structure, and excels at executing details with minimal oversight.

A successful candidate will exemplify a commitment to integrity, transparency, and operational excellence, and will contribute positively to a collaborative and inclusive team environment. This is an individual contributor role and does not involve direct people management.

Key Priorities and Responsibilities
  • Proactively manage and maintain the leadership team and team calendars; schedule internal team and external vendor meetings, actively manage the attendee responses, reschedule when necessary, book conference rooms, and prioritize requests from across the team and external vendor companies.
  • Work with the Operations Coordinator to oversee the daily business operations with the execution of efficient, well-run meetings by ensuring appropriate materials are created and distributed in advance, including clear agendas, supporting documentation, read-ahead material, etc.
  • Assist the Operations Coordinator and other internal staff in providing new employee onboarding; including scheduling, sending meeting invites, ordering catering, and receiving and touring new hires.
  • Assist Operations Coordinator and leadership with onsite management for monthly executive and team presentations, including ordering catering and room set-up logistics.
  • Assist with team morale efforts, including tracking and celebrating employee birthdays, work anniversaries, team milestones, and monthly recognition initiatives.
  • Assist in monthly expense reporting for team.
  • Assist the Operations Coordinator in managing internal communications tools, like shared calendars and chat applications, providing access to new vendors and new hires to appropriate channels.
  • Assist in the maintenance and updating of organizational chart.

An ideal candidate for the Administrative Assistant role will have the following qualifications:

  • Equivalent of 2-4 years of relevant work experience

  • Experience working independently and as a member of a team
  • Proficiency in Microsoft Office Suite and strong Outlook calendaring skills are essential
  • Ability to make recommendations on changes in approach, concepts, and the design of solutions as a member of a team
  • Ability to meet deadlines in a fast-paced, changing environment
  • Ability to handle confidential and sensitive information
  • Ability to work with a wide range of personalities respectfully and humbly
  • Actively maintains open and honest communication of workload balance and timeliness of deliverables
  • Willingness to roll up sleeves and help with anything from administrative support to acting as a key member of a project team
  • Proactive mindset with the ability to anticipate the needs of leadership and team members, often before requests are made
  • Excellent written and verbal communication skills
Preferred Experience and Skills
  • Experience with operations, including process documentation is a plus
  • Interest in public policy and passion for providing open and transparent government data to the public is a plus
Location & Hybrid Work

The position is based in Bellevue, WA.

The organization practices intentional hybrid work. Employees are expected to work on-site Tuesdays, Wednesdays, and Thursdays during a minimum overlapping core hours of 10:00 am to 3:00 pm. Mondays and Fridays remain flexible work-from-home or office workdays.

Length of Assignment

6-12 Contract with possibility for extension.

Compensation Range

$35.00 - $39.50 per hour
