The Institute for Global Health and Infectious Diseases ( IGHID ) seeks a Front Desk Administrative Support Associate to provide professional administrative support to faculty and staff. This position ensures smooth office operations, enabling faculty and staff to focus on patient care, research, and teaching.
Serving as the first point of contact for the Institute, this role is responsible for maintaining a welcoming and professional office environment. The Administrative Associate manages the reception area, provides general administrative and clerical support, coordinates daily office activities, and ensures effective workflow and communication throughout the department.
Key responsibilities include greeting visitors, verifying identities, issuing and tracking badges, managing phone, pagers, and email communications, distributing mail, scheduling appointments, coordinating meetings and travel, and assisting with document preparation. The position also ensures compliance with office security and HIPAA requirements, exercising discretion and confidentiality when handling sensitive information and correspondence.
Much of the work involves detailed, procedural, and routine administrative tasks that play a vital behind-the-scenes role in supporting research operations. The work directly supports physician-scientists engaged in discovery and innovation that shape public health policy, healthcare delivery, and disease prevention. High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
This position requires regular physical activity, including moving throughout campus to deliver or set up materials and catering items. The employee must be able to move and transport supplies such as boxes of paper, food trays, and related items weighing 25-50 pounds. Use of carts and other equipment is available; however, the role still involves frequent bending, lifting, pushing, and walking between buildings.
