Summary

The Department of Pathology and Laboratory Medicine is seeking an Administrative Associate to provide administrative support to a designated group of faculty members within the department. This position plays a key role in ensuring the efficient coordination of faculty activities, academic and clinical operations, and administrative functions while delivering exceptional customer service and organizational support.

The Administrative Associate will interact regularly with faculty, trainees, staff, institutional partners, and administrative colleagues across the School of Medicine and UNC Health. The successful candidate will demonstrate strong communication, organizational, and customer service skills, along with the ability to manage multiple priorities.

Responsibilities
  • Coordinating and managing faculty calendars.
  • Organizing faculty meetings.
  • Preparing and editing professional documents such as curriculum vitae (CVs), NIH biosketches, division communications.
  • Assisting with clinical scheduling activities through Qgenda and supporting coordination of faculty schedules as needed.

This position will have a variety of responsibilities, and potential duties include:

  • Coordinating faculty recruitment and onboarding activities by developing candidate and new hire itineraries.
  • Scheduling interviews, meetings, and recruitment visits.
  • Supporting faculty onboarding processes.
  • Organizing departmental and faculty events.
  • Supporting trainee and faulty conferences.
  • Assisting with asset management and inventory tracking activities.
  • Managing departmental paper mail.
  • Maintaining records and files.
  • Coordinating faculty travel arrangements and reimbursements.

The Administrative Associate will work collaboratively with other members of the administrative team and provide cross-coverage during periods of absence to ensure continuity of operations and exceptional service to department faculty and staff.

The position requires a high degree of professionalism, discretion, attention to detail, and the ability to anticipate faculty needs while maintaining a strong team-oriented approach.
