Job summary

The Program Assistant will provide support for the Assertive Community Treatment (ACT) program by assisting the program manager with scheduling, data entry, client record-keeping, in-office client communication/de-escalation, and other duties to be assigned. The role requires strong organizational skills and proficiency in Windows, Word, Excel, and Outlook.

You will assist with documentation, reporting, and daily operations to ensure smooth program delivery while maintaining client

Qualifications

  • High school diploma or GED required.
  • Experience with data entry and basic office software.
  • Ability to maintain client confidentiality and handle sensitive information.

Responsibilities

  • Complete data entry for ACT Team and sort and record all client mail.
  • Prepare and file records for ACT Team.
  • Prepare daily staff assignment schedules and ensure readiness before meetings.
  • Order supplies for the ACT program and maintain inventories.
  • Maintain forms and track daily census of ACT Team clients.
  • Prepare monthly billings and related spreadsheets/reports.
  • Collect data and prepare reports as needed.
  • Prepare letters to request medical records and maintain logs.
  • Assist with documenting interventions in MyAvatar and CaseWorthy within 24 hours.
  • Maintain client files and keep filing up to date.
  • Operate the program's computer management information systems.
  • Answer phone calls and address client and coworker issues promptly.
  • Coordinate client appointments with team psychiatrist and RN.
  • Deescalate clients as needed and communicate with the team.
  • Respect client confidentiality and uphold ministry policy.
  • Support other service line coworkers and attend meetings/seminars.
