Job summary

Northern Rivers Family of Services in Queensbury, NY is seeking a full-time Program Assistant to support the Assertive Community Treatment (ACT) program from intake through discharge. This onsite role emphasizes patient-centered care and efficient administrative workflows.

Responsibilities include managing medical records, billing reports, referrals, and coordination with providers. A driver license is required, and an Associate's degree is preferred, with a High School Diploma required.

Qualifications

  • High School Diploma is required.
  • Associate's degree and three years of related experience preferred.

Responsibilities

  • Develop and track a staff safety and monitoring system.
  • Manage medical records and support daily staff communication.
  • Facilitate monthly billing reporting and insurance eligibility, electronic clinical record reporting, and related documentation.
  • Maintain contact information for local service providers, first responders, and community health agencies.
  • Develop proficiency with CAIRS system and assessment due dates for clients.
  • Maintain hospitalization logs in the electronic clinical record to support billing functions.
  • Manage referral, intake, treatment, and discharge process for the ACT program daily.
  • Compile and obtain all required documents for referral for quick admission review.
  • Schedule intake appointments by coordinating with program staff.
  • Support the Director with routine reporting and auditing documentation for accuracy.
  • Communicate audit results to program staff and ensure timely documentation.
  • Compile program data including demographics, referrals, sessions, hospital events, and outcomes.
  • Help develop program budgets and track expenses.
