Job summary

Bell Flavors & Fragrances Inc. in Northbrook, IL seeks an Accounts Receivable Coordinator to support the accounting team. The role handles full AR cycle, including invoicing, collections, cash posting, and reporting from the Northbrook plant.

The successful candidate will maintain accurate records, resolve customer account issues, and contribute to healthy cash flow through timely follow-up and professional communication with customers and internal teams.

Qualifications

• 3–5 years in accounts receivable or related finance role.
• Strong knowledge of collections, cash posting, billing, reconciliation, and account maintenance.
• Proficiency in Word, Excel, Outlook, and Microsoft Dynamics 365.
• Experience with invoicing portals (Tungsten, Coupa, Ariba, Bill.com or similar).
• Excellent verbal and written communication; detail oriented and organized.

Responsibilities

• Manage the receivable accounts cycle including cash application and collections.
• Prepare, review, validate, upload, and download customer invoices with supporting documentation.
• Monitor customer accounts, follow up on past-due balances and resolve discrepancies.
• Maintain customer records, payment instructions, W-9 forms, and detailed notes.
• Perform month-end reconciliations, aging reviews, accruals and variance analysis.
• Prepare accounts receivable reports and customer statements.
• Establish and maintain customer credit accounts and obtain D&B and Atradius reports.
• Collaborate with Sales, Finance and customers to resolve billing and payment issues.
• Identify process improvements to enhance efficiency and service.
• Respond promptly to emails/phone calls and meet department deadlines.
