Job summary

Optimas OE Solutions in Illinois is seeking an Accounts Receivable Specialist to support all aspects of invoicing and collections, ensuring timely processing and accurate records for customers and internal teams.

The role involves data entry in NetSuite and Epicor, applying payments, reconciling invoices, resolving variances, and maintaining well-organized customer files while collaborating with sales and finance to meet deadlines. This is a local, on-site position in Wood Dale, Illinois.

Qualifications

• Associates degree in Accounting, Finance, or equivalent experience.
• Minimum 1 year of accounts receivable experience, preferably in manufacturing.
• Experience with NetSuite and/or Epicor ERP systems preferred.
• Proficient in Microsoft Excel and related financial activities.
• Knowledge of invoicing, collections, and customer management best practices.

Responsibilities

• Process customer data updates and maintain accurate customer records.
• Process manual invoices as needed and review for accuracy.
• Apply customer payments and reconcile payments vs invoices.
• Investigate variances and resolve invoice discrepancies to identify root causes.
• Monitor ageing reports for trends and resolution needs.
• Document collection status and activity on outstanding invoices.

Position Summary:

The Accounts Receivable Specialist will report to the Accounts Receivable Manager and support all aspects of accounts receivable, ensuring all deadlines are met with the highest degree of accuracy.

Areas of impact:

• Process customer data updates in NetSuite requested by customer and sales team. Ensure information is accurate and complete with supporting documentation is on file
• Maintain accurate and orderly customer records and files
• Process manual invoices as necessary
• Review processed invoices for accuracy and enter debit and/or credit memos as approved.
• Apply customer payments timely
• Reconcile customer payments vs customer invoices and investigate variances
• Research and resolve invoice discrepancies to identify root cause for corrective action
• Monitor customer’s ageing reports consistently for trends and variances needing resolution
• Document collection status and activity on outstanding customer invoices

Qualifications:

• Associate’s degree in Accounting, Finance or equivalent experience
• Minimum of 1 year of accounts receivable experience preferably in a manufacturing environment
• Experience in NetSuite and/or Epicor ERP systems preferred
• Proficiency with Microsoft Excel
• Knowledge of invoice generation, invoice collection, and customer management best practices
