Job summary

Imaging Business Machines, LLC is seeking an Accounts Payable Specialist to perform daily AP processing, vendor communications, and month-end close support. The role focuses on accurate invoicing, timely payments, and maintaining AP records.

The candidate will review invoices, reconcile GLs, and manage supplier inquiries while using Macola for document imaging and posting. This on-site position requires 2–3 years of AP experience and solid Excel skills.

Qualifications

• 2-3 years of Accounts Payable experience required.
• Proficiency in Microsoft Excel and basic accounting knowledge.
• Strong typing, filing, and vendor-call handling skills.

Responsibilities

• Process PO and non-PO invoices daily with approvals and GL coding.
• Match invoices to POs, requisitions, and packing slips.
• Review vendor statements and resolve payment issues.
• Prepare weekly AP open-items report and process payments.
• Handle employee loan ACHs and manual checks.
• Scan invoices into Macola AP module.
• Manage AP shared email and communicate with vendors/internal teams.
• Reconcile AP GL accounts and resolve out-of-balance issues.
• Assist with 1099s and year-end audit support.
• Maintain vendor records and obtain W-9s.
