Qualifications

• Experience processing vendor invoices, credit memos, and expense receipts.
• Proficient in three-way matching (PO, receiving report, vendor invoice).
• Familiar with month-end close and 1099 data preparation.

Responsibilities

• Review, code, and enter all incoming vendor invoices, credit memos, and expense receipts into Lightspeed DMS.
• Execute three-way matching for Parts, Accessories, Apparel, and General Supplies.
• Verify service sublet invoices against active Repair Orders prior to payment.
• Issue customer refunds, lien payoffs and unit purchases invoicing.
• Assist in processing AP entries for new major unit inventory from OEMs.
• Monitor manufacturer credits, warranty reimbursements, freight claims, and holdback/rebate allocations.
• Prepare weekly check runs, ACH payments, and credit card payments per vendor terms.
• Maintain vendor records, W-9 forms, and COI records.
• Reconcile monthly vendor statements and resolve discrepancies.
• Identify and capture early-payment terms and volume discounts.
