Our client, a progressive midsized law firm based in New York City is seeking an experienced and detail-oriented Accounts Payable Specialist to join its Finance and Accounting Department. This position is ideal for a motivated professional with 5 or more years of law firm experience. The successful candidate will be responsible for the full lifecycle of accounts payable operations, ensuring accurate and timely processing, coding, and reconciliation of vendor invoices, as well as maintaining compliance with IRS 1099 reporting requirements.

Key Responsibilities:

  • Process a high volume of vendor invoices through Chrome River, ensuring timely and accurate entry and payment.
  • Review, verify, and reconcile invoices, purchase orders, and expense reports against supporting documentation and firm policies.
  • Accurately code invoices to appropriate general ledger accounts, cost centers, and matter numbers as needed.
  • Coordinate with attorneys, legal assistants, and administrative staff to resolve invoice discrepancies and obtain necessary approvals.
  • Schedule and initiate vendor payments via ACH, check, or wire, maintaining appropriate internal controls and audit trails.
  • Monitor accounts to ensure payments are up to date and communicate with vendors regarding payment status.
  • Maintain accurate AP files and documentation in compliance with firm policy and IRS regulations.
  • Manage and process annual 1099 filings, ensuring timely issuance and submission of required tax forms.
  • Assist with month-end and year-end closing processes by preparing AP-related reports and reconciliations.
  • Identify and implement process improvements to enhance the efficiency and accuracy of AP operations.

Qualifications:

  • Minimum of 5 years of accounts payable experience, preferably within a law firm or professional services environment.
  • Hands-on experience with Chrome River AP software is required.
  • Proficient in general ledger coding, invoice reconciliation, and electronic payment processing.
  • Strong working knowledge of 1099 processing and compliance.
  • Familiarity with legal accounting systems (e.g., Aderant, Elite, or similar) is a plus.
  • High degree of accuracy, attention to detail, and organizational skills.
  • Excellent communication skills and ability to work collaboratively with attorneys, vendors, and other departments.
  • Associate degree in Accounting, Finance, or related field preferred; equivalent experience will be considered.
