SERVPRO Team Jones is seeking a detail-oriented Accounts Payable (AP) Specialist to manage vendor invoices, subcontractor payments, and expense processing. The role supports accounting and operations in a fast-paced restoration environment.

Qualifications

• Detail-oriented accounts payable experience required.
• Knowledge of vendor invoicing and code accuracy essential.
• Ability to work in a fast-paced restoration and construction environment.

Responsibilities

• Process and enter vendor invoices accurately and timely.
• Review invoices for proper approvals, coding, and supporting documentation.
• Match purchase orders, receipts, and invoices.
• Prepare and process weekly check runs, ACH payments, and credit card payments.
• Maintain vendor payment schedules and ensure timely disbursement of funds.
• Resolve invoice discrepancies and payment issues.
• Maintain vendor files, W-9 forms, insurance certificates, and required documentation.
• Process payments for subcontractors, suppliers, and service providers.
• Establish and maintain positive vendor relationships.
• Respond to vendor inquiries regarding payment status and account balances.
• Assist with vendor setup and compliance requirements.
• Reconcile vendor statements and accounts.
• Assist with monthly account reconciliations.
• Maintain organized accounting records and general ledger coding.
• Support month-end and year-end closing activities.
• Prepare AP reports and aging summaries.
• Assist with 1099 preparation and reporting.
• Ensure compliance with company accounting policies and procedures.
• Support audits as needed.
