Job summary

Aston Carter is seeking an Accounts Payable Specialist to support the full lifecycle of vendor payables in a Portland, OR-based engineering and fabrication environment.

The role requires meticulous data entry, invoice processing, and strong vendor communication while collaborating with purchasing, engineering, and operations to resolve discrepancies. This contract-to-hire position offers onsite work and a competitive hourly rate.

Qualifications

• Experience processing invoices and accounts payable documents.
• Foundational knowledge of purchase orders and invoices and their relation to accounts payable.
• Proficient with Microsoft Office, especially Excel and Outlook.
• Experience using ERP systems for notes, reporting and tracking.

Responsibilities

• Process receiving documents by reviewing packing slips, sign-off, and backorders.
• Process accounts payable invoices by matching to receiving documents and POs.
• Obtain approvals for invoices differing from PO quantities or amounts and document discrepancies.
• Contact vendors to verify partial vs final billing on rental/subcontract invoices.
• Follow up on open POs vs receipt dates via phone or email.
• Review vendor statements to identify missing/outstanding invoices.
• Maintain organized electronic records of documents and AP activity.
• Use ERP to annotate POs, run reports, track open items.
• Merge, modify, and markup PDF documents for accurate documentation.
• Perform high-volume data entry for invoices, POs, and vendor records.
• Assist with phones/front desk and provide professional support.
• Collaborate with purchasing, engineering, and operations to resolve discrepancies.
