Job description

Note:

APA operates on a 37.5-hour work week with one-hour lunch breaks each day. Salaries are set based on considerations such as years of relevant experience, education level, and prior staff or governance experience at APA.

Job Title: Accounts Payable Specialist

The Accounts Payable Specialist is responsible for processing all cash disbursements to vendors, governance members, award recipients, and staff/non-staff reimbursements in accordance with established policies, procedures, and best practices. The role involves ensuring that payment requests are valid, accurate, properly authorized, supported, and paid promptly.

The Specialist must be well-versed in APA policies and act as an enforcer of those policies.

Education & Experience:
  • Bachelor's degree in Business Administration, Accounting, Marketing, or related field, with at least 3 years of relevant experience. Alternatively, 5 years of solid accounts payable experience can substitute for a degree.
  • Understanding of accounting principles, including bank and ledger account reconciliations.
  • Knowledge of compliance with internal and external policies and regulations, and a commitment to good customer service.
Computer Skills:
  • Proficiency in accounting software, Microsoft Word, and Excel.
Responsibilities:
  • Handling all tasks related to disbursements to vendors, governance members, awardees, and staff/non-staff reimbursements.
  • Communicating with vendors, members, banks, and staff as needed.
  • Ensuring proper classification of vendors for 1099 reporting.
  • Processing check, wire, and ACH payments in accordance with policies and internal controls.
  • Verifying sales tax charges, and tracking and reconciling accounts payable, prepaid accounts, and accruals.
Additional Duties:
  • Supporting audits and information requests.
  • Processing payables for related entities.
  • Performing general ledger and bank reconciliations.
  • Handling other ad hoc requests as needed.
