Job summary

ServiceMaster in California (Azusa) seeks an Accounts Payable Specialist to manage full-cycle AP, code invoices, and maintain vendor relationships on-site. You’ll support month-end close, ensure timely payments, and uphold internal controls in a fast-paced environment.

Qualified candidates have 5+ years in AP, strong QuickBooks and Excel skills, and a Bachelor’s/Associate degree in accounting or finance preferred. Compensation ranges $25–$28 per hour.

Qualifications

• 5+ years of accounts payable experience required, construction/restoration exp preferred.
• Proficiency with QuickBooks and full-cycle AP processes.
• Strong Excel skills and excellent organizational ability.

Responsibilities

• Process and code vendor invoices accurately and timely.
• Match invoices to POs and job cost records.
• Prepare weekly check runs, ACH, and wire transfers.
• Reconcile vendor statements and resolve discrepancies.
• Maintain vendor files, W-9s, and payment documentation.
• Support month-end close, reconciliations, and reporting.
• Assist with 1099 preparation and year-end reporting.
• Communicate professionally with vendors and internal teams.
• Contribute to process improvements and internal controls.

Position Summary - On site

The Accounts Payable Specialist is responsible for managing the full-cycle accounts payable process, ensuring vendor invoices are processed accurately and on time, maintaining strong vendor relationships, and supporting the accounting team with month-end close activities. This role requires exceptional attention to detail, strong organizational skills, and the ability to thrive in a fast-paced environment.

Key Responsibilities

• Process and code vendor invoices accurately and timely.
• Match invoices to purchase orders and job cost records.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve invoice discrepancies.
• Maintain vendor files, W-9s, insurance certificates, and payment documentation.
• Monitor accounts payable aging and ensure compliance with payment terms.
• Assist with month-end closing activities, account reconciliations, and reporting.
• Support 1099 preparation and year-end reporting.
• Communicate professionally with vendors, subcontractors, and internal teams.
• Assist with process improvements and maintain internal controls.

Qualifications

• 5+ years of Accounts Payable experience required; construction or restoration industry experience preferred.
• Strong understanding of AP processes, invoice coding, and job costing.
• Experience with accounting software (QuickBooks).
• Proficiency in Microsoft Excel and Microsoft Office Suite.
• Excellent attention to detail and organizational skills.
• Ability to prioritize multiple tasks and meet deadlines.
• Strong communication and problem-solving abilities.
• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
