Vaco by Highspring seeks a detail-oriented Accounts Payable Specialist to join the Irvine, CA accounting team. You will process invoices, perform 3-way matching, and manage vendor relationships while supporting month-end close and year-end reporting.

The role requires strong accuracy, organization, and ability to work in a fast-paced environment. You will review invoicing for proper coding, prepare payments, and respond to vendor inquiries.

Qualifications

• 2+ years of Accounts Payable experience.
• Experience with high-volume invoice processing.
• Strong understanding of AP processes and accounting principles.
• Knowledge of 3-way matching and vendor reconciliation.
• Proficiency in Microsoft Excel and Microsoft Office Suite.
• Experience with ERP or accounting systems preferred.
• Excellent organizational, communication, and problem-solving skills.
• Ability to manage multiple priorities and meet deadlines.

Responsibilities

• Process high-volume accounts payable invoices accurately and timely.
• Perform 3-way matching of purchase orders, invoices, and receiving documentation.
• Review invoices for proper coding and approvals.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve discrepancies.
• Respond to vendor inquiries regarding payment status.
• Maintain vendor records, including W-9s and account setup information.
• Assist with month-end closing activities and AP reconciliations.
• Support 1099 preparation and year-end reporting.
• Maintain organized electronic and physical filing systems.
• Collaborate with internal departments to resolve invoice and payment issues.
• Assist with special projects and process improvements as needed.
