Description

Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.


The Accounts Payable (AP) Manager will supervise a staff of 2-3 AP Specialists and oversee all aspects of the accounts payable functions ensuring all payments are processed in a timely and accurate manner. Additionally, managing and overseeing all accounts payable related activities to include invoice receipt and processing, payment processing/disbursements, vendor management, using a large ERP system and the annual processing of 1099's.


Education and Experience Required:



  • Education: Bachelor's degree in accounting, Finance or related discipline preferred or 10+ years of related experience working in a non-profit or corporate environment.

  • Experience managing a high volume fully cycle payables processing system with strong debits and credits background

  • Strong interpersonal skills, takes the initiative to drive action, and can work under deadlines.

  • Analytical and problem-solving skills, with the ability to develop and implement effective solutions.

  • Excellent communication with the ability to build strong relationships with internal and external stakeholders.

  • Task and goal oriented and capable of functioning in a corporate setting.

  • Demonstrated understanding of accounting principles, including bank and ledger account reconciliations.

  • Must understand the importance of compliance with internal and external policies and regulations, and the importance of good customer service.

  • Excellent time management skills.


Computer Skills Required:


Must have experience with accounting software. (Business Central or other comparable ERP solution)


Excellent Microsoft Office skills are a must.


Responsibilities:


AP Manager is responsible for the following:



  • Coordinating all tasks related to disbursements to vendors, subcontractors, members of governance, award recipients, and employee reimbursements.

  • Lead the AP team in understanding per diem requests, ensuring accordance to company policy and associated approval workflow.

  • Accountable for the resolution of any issues/escalations as it relates to accounts payable processing.

  • Lead the AP team in research and correct discrepancies to ensure monthly vendor statements are reconciled.

  • Oversee and review of the processing of daily payment batches timely and accurately.

  • Oversee the upload of ACH/Wire and Check batches to the bank for final disbursement.

  • Provide support to all BC users (check portal and invoice entry) while monitoring system performance and providing data through reporting.

  • 1099 Preparation and Training (Annually)- ensuring vendors are accurately setup and flagged.

  • Manage and oversee the Escheatment process.

  • Assist with monthly and annual accruals to ensure proper coding.

  • Ensure expense reimbursements are coded correctly according to company policy.

  • Work closely with other members of the Finance team to support day-to-day business functions.

  • Hiring, training, mentoring and evaluating the AP team.

  • Provide leadership to the AP team while fostering a culture of accountability, collaboration and continuous improvement and innovation.

  • Ensure all processes across the AP team are documented and maintained.

  • Evaluate and strengthen the departments policies, procedures, and internal controls to prevent fraud, errors, and discrepancies.

  • Prepares monthly ad hoc reports.

  • Other Duties as Assigned

    • Assists as needed with audit/information requests, processing payables for all entities, and other ad hoc requests.
