Position Summary

The Accounts Payable Manager is responsible for managing day‑to‑day accounts payable operations, including invoice processing, reconciliations, and month‑end close activities. This role is hands‑on in AP processing while also overseeing work performed by a third‑party accounting firm. In addition, the role is responsible for administering W‑2 payroll processing and ensuring payroll accuracy, compliance, and timely execution. The position ensures accuracy, timeliness, and compliance with company policies, internal controls, and accounting standards.

The compensation range for this role is $80,000 - $90,000 annually.

Key Responsibilities
Accounts Payable Operations
  • Manage end‑to‑end accounts payable processes, including invoice intake, coding, approvals, and payment execution
  • Process vendor invoices, ensuring accuracy and timeliness
  • Maintain vendor master data and supporting documentation (W‑9s, contracts, tax forms)
  • Respond to vendor inquiries and resolve discrepancies
Payroll Operations (W‑2)
  • Manage and execute W‑2 payroll processing, ensuring accurate and timely payroll runs
  • Review and validate payroll data, including wages, deductions, benefits, and taxes
  • Coordinate with HR on new hires, terminations, compensation changes, and benefit elections
  • Ensure compliance with federal, state, and local payroll tax regulations and filing requirements
  • Reconcile payroll‑related accounts and support payroll entries as part of month‑end close
  • Serve as the primary point of contact for payroll‑related questions and issue resolution
  • Coordinate with third‑party payroll providers as applicable and oversee their work for accuracy and compliance
Third‑Party Accounting Firm Oversight
  • Act as the primary liaison with the third‑party accounting firm supporting accounts payable and payroll activities
  • Review and oversee work performed by the firm to ensure accuracy, timeliness, and adherence to company policies
  • Coordinate issue resolution, escalations, and process improvements as needed
  • Ensure compliance with GAAP, company policies, and applicable tax and regulatory requirements
  • Maintain strong internal controls related to accounts payable, payroll, and cash disbursements
  • Support internal and external audits, including providing schedules and documentation
Month‑End Close & Reporting
  • Reconcile accounts payable subledger to the general ledger
  • Reconcile payroll‑related accounts and accruals
  • Produce AP aging, payroll summaries, and supporting schedules
  • Partner with accounting leadership to meet close deadlines and reporting requirements
  • Cross‑Functional Collaboration
  • Partner with Procurement, Operations, HR, and Finance to resolve invoice, payroll, and payment issues
  • Support system implementations, enhancements, and automation initiatives across AP and payroll
  • Assist with process documentation and continuous improvement efforts
Qualifications
Required
  • Bachelor’s degree in Accounting, Finance, or related field
  • 5+ years of accounts payable or accounting experience
  • Hands‑on experience running W‑2 payroll and ensuring payroll accuracy
  • Strong understanding of internal controls and accounting principles
  • Experience working with ERP, accounting, and/or payroll systems (e.g., Intacct, NetSuite, Workday, ADP, Paychex, or similar)
  • Proficiency in Excel
Preferred
  • Experience working with outsourced or third‑party accounting and/or payroll providers
  • Experience in a multi‑entity or high‑volume environment
  • Familiarity with payroll tax filings and audit support
  • Accounting or payroll certification (a plus, not required)
  • High attention to detail and accuracy
  • Strong organizational and time‑management skills
  • Ability to manage multiple priorities and deadlines
  • Clear communicator with strong vendor and stakeholder management skills
  • Practical, hands‑on problem‑solving approach
  • This role requires the ability to travel when needed.
