Job description

Location: NYC

Seeking a detail-oriented and proactive Accounts Payable Manager to oversee the timely and compliant processing of expense payments for 200+ federal, state, city, and local government grants and contracts. This role involves reviewing, refining, and implementing procedures to ensure accurate financial reporting and compliance with regulations and internal controls. The Accounts Payable Manager will supervise a team of accounts payable clerks, work closely with finance leadership, and collaborate with internal and external stakeholders.

Key Responsibilities:
  1. Review, refine, and implement procedures for the timely and compliant processing of expense payments related to grants and contracts.
  2. Partner with finance leadership to develop and enforce internal controls, policies, and procedures for accounts payable operations.
  3. Build and maintain relationships with staff, vendors, and external partners, ensuring timely resolution of requests.
  4. Supervise and mentor accounts payable clerks, fostering accountability, improvement, and professional development.
  5. Produce, review, and distribute accounts payable reports to ensure accurate financial reporting.
  6. Provide financial insights to support decision-making and compliance.
  7. Review monthly accounting close, flagging discrepancies as needed.
  8. Oversee vendor payments, ensuring adherence to terms and regulations.
  9. Maintain accurate vendor records, ensuring proper classification and data integrity.
  10. Ensure compliance with policies and government regulations, maintaining a strong financial control environment.
  11. Implement corrective actions for errors or policy deviations.
  12. Ensure accurate recording of payables and disbursements, monitoring for errors.
  13. Review and suggest process improvements for efficiency and compliance.
  14. Assist with additional finance tasks as needed.
Qualifications:
  • Bachelor's degree in Accounting, Finance, or related field.
  • 3-5 years of experience in accounts payable or finance, with supervisory experience.
  • Knowledge of financial systems and data analysis.
  • Understanding of government grants, contracts, and compliance.
  • Excellent communication and relationship skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Attention to detail and problem-solving skills.
  • Commitment to continuous improvement and professional growth.
  • Bachelor's degree in Accounting, Finance, Business, or related field, with 5-7 years of experience in nonprofit and/or government accounting, including grants and contracts management.
  • Experience with Coupa and NetSuite is a plus.
  • Advanced Excel skills, including data analysis and financial modeling.
  • Proven team management and mentoring experience in a deadline-driven environment.
