Job summary

Qualifications

• Minimum four years of accounts payable or related accounting experience.
• Strong understanding of invoice processing, purchase orders, receiving, coding, and payment processes.
• Experience reconciling vendor statements and resolving discrepancies.
• Strong Microsoft Excel skills.
• Experience with an ERP or accounting system.
• Excellent attention to detail and organizational skills.
• Ability to manage deadlines and multiple priorities.
• Strong written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive financial information.

Responsibilities

• Process vendor invoices accurately and timely.
• Review invoices for proper approvals, purchase orders, receiving documentation, coding, and supporting documents.
• Match invoices to purchase orders and receiving records.
• Investigate and resolve invoice, pricing, quantity, and receiving discrepancies.
• Maintain accurate vendor files and vendor account information.
• Prepare accounts payable aging reports and monitor outstanding invoices.
• Coordinate payment processing according to company procedures and payment terms.
• Respond to vendor inquiries and maintain professional vendor relationships.
• Reconcile vendor statements and resolve outstanding balances.
• Assist with month-end close activities, including accruals and accounts payable cutoff.
• Support the review of open purchase orders, unmatched receipts, and uninvoiced receipts.
• Coordinate with Purchasing, Receiving, Operations, Project Management, and Accounting to resolve issues.
• Assist with audit requests and provide supporting documentation.
• Maintain organized records in accordance with company policies.
• Identify opportunities to improve accounts payable processes, controls, and reporting.
• Perform other accounting duties as assigned.
