MGT is seeking an Accounts Payable Clerk to work on-site in Livermore, CA, responsible for managing vendor invoices, subcontractor billing, and maintaining vendor records while ensuring accurate financial records and providing administrative support to the finance team. The ideal candidate has at least three years of accounting experience, strong Excel skills, and the ability to work effectively in a fast-paced environment.
WHAT YOU’LL DO:
In this role you will:
Process vendor (job related) bills & credits and ensure accurate invoice reconciliation
Manage Microsoft billing including matching, voucher entry, and posting
Process weekly WF payments, including pulling activity reports, matching invoices, and filing payment logs
Maintain and update vendor records, request W-9s, and confirm customer accounts have appropriate supplier sites
Enter and manage expense reports in SCM, including container rentals, insurance, and overages
Investigate and resolve accounts payable discrepancies
Create and maintain subcontractor contract folders in SharePoint
Process and post subcontractor billing, manage ledger entries, and release payments
Month-end financial reports for reconciliation (includes reviewing vendor statements, and internal reports)
Process RMA/Overage invoices and handle vendor payment inquiries
Assist with new hire setup (supplier sites, accounts, phone allowances, employee folders)
AP filing
Create and maintain annual vendor and employee folders, including labels
Serve as backup operator for incoming calls and provide support for all finance team members
WHAT YOU’LL BRING:
High school diploma required; some college coursework in accounting or business is a plus
Three (3) or more years of experience in an accounting or finance-related position
Must be able to commute to the Livermore, CA office 5 days a week
Proficiency in Microsoft Word and Excel; experience with Adobe is a plus
Excellent written and verbal communication skills
Strong problem-solving abilities and attention to detail
Professional telephone etiquette and customer service orientation
Ability to prioritize tasks and manage time effectively in a fast-paced environment
Working knowledge of accounting best practices and procedures
Demonstrated ability to build and maintain positive relationships with internal teams and external vendors
