Job Title: Accounts Payable & Finance Operations Specialist

Location: On-site | Shift: 8:00 AM – 5:00 PM (Some overtime required)

Reports To: Finance Manager

Overview

We’re seeking a detail-oriented and proactive Accounts Payable & Finance Operations Specialist to join our finance team. You’ll play a key role in managing vendor payments, ensuring invoice accuracy, maintaining records, and supporting key financial functions like cash forecasting, reporting, and inventory analysis. This is a hands-on role ideal for someone who thrives in a fast-paced, multifaceted environment and wants to make an impact across multiple departments.

Key Responsibilities

  • Review and process incoming vendor invoices, ensuring documentation is accurate and approvals are in place.
  • Post bank transactions and cancel checks as needed.
  • Set up and execute wire transfers for domestic and international vendors.
  • Maintain and verify W-9s from all vendors.
  • Handle payment inquiries and resolve invoice discrepancies.
  • Financial Operations
  • Create and manage weekly cash forecasts and prepare weekly check runs.
  • Complete monthly AP close procedures.
  • Assist with monthly financial reports and journal entries.
  • Submit credit applications for new vendors.
  • Prepare monthly reports on commissions, expense trends, and departmental spending.
  • Inventory & Manufacturing Support
  • Analyze manufacturing work orders for accuracy and cost tracking.
  • Conduct and support daily cycle counts and annual physical inventories, including third-party locations.
  • Maintain and update inventory files, including BOM (Bill of Materials).
  • Marketing & Capital Project Reporting
  • Track marketing budgets and forecasts; report findings to the VP of Marketing.
  • Monitor CapEx projects and manage in-service date records.
  • Tax Filing Support
  • Assist with state tax filings for Wisconsin, California, and Washington, including Wisconsin M-P (Fixed Assets).

What We’re Looking For

Experience:

  • Minimum of 5 years in accounting or finance, with a strong background in accounts payable.
