Job summary

Vaco by Highspring is seeking an Accounts Payable Analyst to join our client’s team. This hands-on AP role involves processing invoices, resolving discrepancies, and ensuring timely payments while collaborating across Procurement, Receiving, and internal teams.

The ideal candidate has 3–7 years of AP experience, strong Excel, and experience with 3-way matching. Oracle familiarity and AP automation tools are a plus.

Responsibilities

• Process accounts payable invoices, including manual invoices, check requests, credits, and exception items.
• Research and resolve 3-way match discrepancies involving purchase orders, receipts, and vendor invoices.
• Partner with Procurement, Receiving, Buyers, and other internal teams to resolve invoice issues.
• Follow up on invoices that have not been processed when goods/services have been received.
• Review vendor statements and work with vendors to obtain missing invoices or resolve outstanding items.
• Process credits related to vendor returns and other adjustments.
• Respond to vendor inquiries regarding invoices, payment status, discrepancies, and other AP questions.
• Maintain accurate AP documentation and records.
• Assist AP Supervisor with projects and day-to-day AP needs.
• Support management and audit requests by gathering and providing required documentation.

What We're Looking For

We're looking for someone who understands the full procure-to-pay process and can confidently troubleshoot issues from purchase order through payment.

• 3-7 years of accounting or accounts payable experience.
• Experience with 3-way matching and invoice processing.
• Strong Microsoft Excel skills.
• Oracle experience is a plus.
• Experience with an AP automation or invoice processing system is preferred.
• Strong written and verbal communication skills.
• Excellent analytical and problem-solving abilities.
• Highly organized and detail-oriented.
• Ability to manage multiple priorities and meet deadlines.

This is a hands-on AP role where you'll have the opportunity to work across multiple departments, build relationships with vendors and internal teams, and play an important role in keeping the company's accounts payable process accurate and efficient.

Work Environment

This is primarily a desk-based position with regular computer use. The role may occasionally require movement throughout the office and manufacturing environment for meetings and collaboration with other teams.

Candidates should be comfortable sitting and working at a computer for extended periods and occasionally lifting up to 15 pounds.
