Purpose of Role

The Accounts Payable Analyst is responsible for the processing of vendor invoices and payments in an accurate, efficient and timely manner in accordance with GAAP, review employee expenses and corporate credit card reports for reimbursements, and cash receipt recording.

As the Accounts Payable Analyst, you’ll be reporting directly to the Accounting Manager, Payroll & Expenditures.

Core Job Responsibilities

  • Process vendor invoices via ZIP system and our NetSuite ERP system from receipt through accounts payable entry, including working with various departments and Procurement to ensure proper coding of vendor invoices.
  • Ensure the timely processing of payments by working closely with the accounting team.
  • Communicate with internal and external consultants/vendors, including monitoring of timely department approval of invoices and resolving billing issues.
  • Prepares monthly accrual entry within 8 days of month end, and within three weeks of year end.
  • Assist the Staff Accountant & Payroll Associate and the Accounting Manager, Payroll & Expenditures with the preparation and filing of Form 1099s annually, Form 1042s annually, and any other tax filings assigned by finance team leadership.
  • Review employee expenses and corporate card reports to ensure compliance with Foundation travel & expense policies.
  • Prepare and record cash receipts, as needed.
  • Maintain confidentiality of highly sensitive information.
  • Identifies opportunities to streamline processes and improve efficiency.
  • Other duties as assigned by the finance team leadership.

Key Deliverables / Outcomes

  • All invoices are processed timely (net 30) and in compliance with the terms of vendor agreement
  • Provide exceptional customer service to all vendors to resolve invoice or payment discrepancies; all inquiries are responded to within 24 hours
  • All vendor invoices or payment discrepancies are resolved within an average of 5 days
  • Regularly review and refine the payable process with the assistance of the Accounting Manager, Payroll & Expenditures to reduce inefficiencies and strengthen controls
  • Cash receipts are entered timely and regularly as assigned

Required Qualifications

  • 2-3 years of accounts payable experience; not-for-profit experience a plus
  • Strong working knowledge of Excel, NetSuite, ZIP, and Concur preferred
  • Strong analytical skills and attention to detail; track record of accurately processing transactions; high bar for accuracy
  • Ability to quickly analyze information and identify errors and omissions
  • Exceptional communication and customer service skills, written and verbal, and ability to work collaboratively with all departments and levels of the organization and outside vendors while maintaining a high level of confidentiality
  • Proven ability to manage multiple priorities without compromising quality
  • Uses time, energy and resources in an effective and efficient way to consistently meet deadlines and achieve established goals

The salary range for this role is between $51,965 and $64,980.

This is a hybrid role based at our Chicago office in Hyde Park.
