Qualifications

Responsibilities

• Review and process subcontractor pay applications against contracts and change orders.
• Track retainage and obtain lien waivers prior to releases.
• Process vendor invoices with proper approvals, project assignments, and cost coding.
• Coordinate with project managers to resolve discrepancies and secure payment approvals.
• Prepare payment runs according to procedures and contractual terms.
• Reconcile vendor statements and respond to payment inquiries.
• Maintain vendor records, W-9s, and supporting documentation.
• Assist with month-end close and AP reconciliations.

Accounts Payable Specialist – Construction

We’re seeking a detail-oriented Accounts Payable Specialist with construction pay application experience to support vendor invoices, subcontractor payments, and accurate project cost tracking.

Accounts Payable Key Responsibilities

• Review and process subcontractor pay applications, verifying amounts against subcontract agreements, approved change orders, and supporting documentation
• Track retainage and obtain required lien waivers before releasing payments
• The accounts payable specialist will process vendor invoices, ensuring accurate approvals, project assignments, and cost coding
• Coordinate with project managers to resolve discrepancies and obtain payment approvals
• Prepare payment runs according to company procedures and contractual terms
• Reconcile vendor statements, research discrepancies, and respond to payment inquiries
• Maintain vendor records, W-9s, and supporting payment documentation
• Assist with month-end close, accounts payable reconciliations, and audit requests

Accounts Payable Qualifications

• Previous accounts payable experience in the construction industry
• Hands-on experience reviewing and processing subcontractor pay applications required
• Understanding of retainage, lien waivers, subcontract agreements, and construction billing
• Strong attention to detail, organization, and ability to manage deadlines
• Effective communication skills and a collaborative approach
• Proficiency with Excel and accounting software
• Familiarity with AIA billing forms and construction accounting systems preferred
