Job summary

The State Group, based in Evansville, Indiana, seeks an Accounting Coordinator to support MelKay, a subsidiary, with billing, invoicing, and AR activities across southern Indiana, western Kentucky, and southern Illinois.

Qualifications

• 2+ years of accounting, administrative, or relevant experience.
• High school diploma or equivalent required.
• Experience with customer and work order billing required.
• Experience in the construction industry, intermediate knowledge of Excel, and experience with Spectrum software preferred.

Responsibilities

• Serve as liaison between office personnel and project managers for clear, timely communication.
• Run work order status reports and manage all open work orders.
• Review completed work orders for time, materials, POs, descriptions, notes, and PM material deductions.
• Prepare and revise invoices as needed, submit them for approval, and send invoices daily.
• Complete monthly billing duties such as statements, PM billing, and renewals.
• Process invoice coding, verify POs, and support A/R with payments and follow-up on outstanding invoices.

We are seeking an Accounting Coordinator for MelKay, a subsidiary of The State Group Family of Companies, based in Evansville, Indiana. MelKay provides electrical, mechanical, and plumbing construction and maintenance as well as HVAC, fire, security, communication, and safety systems to customers in southern Indiana, western Kentucky, and southern Illinois. WHAT YOU WILL DO

• Serve as an effective liaison between office personnel and project managers, ensuring clear, timely, and accurate communication across teams.
• Run work order status reports and manage all open work orders, including notes and scheduling updates.
• Review completed work orders for accuracy, including time, materials, POs, descriptions, notes, and PM material deductions.
• Prepare and revise invoices as needed, submit them to the manager for approval, and send invoices daily.
• Complete monthly billing duties such as statements, Preventive Maintenance billing, and tracking PM visits, hours, and renewals.
• Process invoice coding, verify POs, and support A/R with payments, deposits, logs, and follow-up on outstanding invoices.

WHAT YOU NEED TO JOIN OUR TEAM

• 2+ years of accounting, administrative, or relevant experience.
• A high school diploma or equivalent.
• Experience with customer and work order billing required.
• Experience in the construction industry, intermediate knowledge of Excel, and experience with Spectrum software preferred.
• Strong time management skills; efficiently prioritizing tasks and managing competing deadlines.
• Strong analytical skills and attention to detail.
• Excellent organizational, interpersonal, and communication skills.
