Experienced Accounting Professional with Extensive Expertise in Construction and Privately Held Businesses

Our company is currently seeking an Accounting Assistant/Receptionist. The accounting work is approximately 70% while reception/general office duties comprise the other 30%.

New Berlin Grading, Inc. is a family-owned business with a rich history since 1960! As with most construction offices, we enjoy a casual environment; however, we maintain high standards and expectations for quality, accurate work and impeccable customer service.

Responsibilities:

- Answer incoming phone calls, greet guests, and process incoming and outgoing mail.

- Keep central office, kitchen, clothing inventory, and supply cabinet organized and restock when necessary.

- Process accounts payable. Review material invoices to reconcile quantities and amounts with purchase orders, packing slips, and field tickets. Process subcontractor billings.Confirm accuracy of sales tax rates, calculations, and amounts on invoices.

- Prepare, process, and distribute A/P check runs.

- Process credit requests.

- Work closely with project managers on customer billings to ensure accuracy and timely submission.

- Assist in the administrative setup and close-out of jobs.

- Setting up file folders, filing, and archiving old documents in preparation of off-site storage.

- Working with ownership, act as the point person/key coordinator for all annual Company events.

- Assist with additional tasks as requested with a willingness and eagerness to help out.

- At times, have the ability to work overtime or on weekends when required.

Qualifications:

Have a thorough understanding of the construction industry, project accounting, lien waivers, job codes, cost codes, and general ledger accounts.Prior experience with AIA billing required.An associate degree in accounting is preferred. Equivalent work experience to our satisfaction will be considered.

Prior experience with billing, accounts payable, unions, and project accounting is required.Working knowledge of Construction industry software, preferably Sage Contractor desired.

Current, up-to-date proficiency in Excel, Word, Outlook, and Adobe PDF is mandatory.

Must display initiative to solve problems and be forward-thinking in order to prevent errors or problems before they occur.

Be self-motivated in managing open tasks while maintaining timely communication with the supervisor on any status updates or issues.

Physical requirements of this role are those of a typical office job. Frequent typing, reaching, filing, and other administrative tasks should be expected. There is extensive computer monitor use in this role that will require close vision, peripheral vision, depth perception, and the ability to adjust focus. The employee would likely mostly be seated at an office desk in a stationary position while moving frequently to access their coworkers and office equipment. There may be occasional requests to move up to 25 pounds.
