The Account Assistant provides administrative account support to the beef team at Where Food Comes From, Inc. (WFCF).This position assists with audit preparation, documentation, and account maintenance activities while helping ensure efficient service delivery and compliance with established standards and program requirements.
Roles and Responsibilities
- Provide administrative support to Account Managers.
- Assist in preparation of upcoming audits by providing required documentation and information.
- Coordinate communications with verifiers regarding scheduled audits.
- Review and organize customer records, audit documents, and supporting materials for completeness.
- Assist with compiling audit findings and preparing verification reports for manager review.
- Track corrective action requests and follow up with customers as directed by Account Managers.
- Help prepare approval documents, notifications, renewal reminders, shipping certificates, and customer correspondence.
- Maintain accurate customer records and databases.
- Assist with tag investigations.
- Assist with video sale pre-check verification and compilation of sale premium data.
- Collect customer feedback and share information with the Account Management team.
- Support customers with routine questions regarding programs, documentation, and processes.
- Perform any other responsibilities as needed.
Required Skills & Experience
- Associate's degree or equivalent work experience preferred in agriculture, food science, animal science, or other applicable field.
- Livestock and/or Agricultural background and experience in beef.
- 1 year of customer service experience.
- Highly detail-oriented and self-motivated with a desire for continuous learning.
- Teamwork attitude with a strong aptitude for professionalism and courtesy.
- Ability to process a high volume of data in a productive and quality driven manner with a strong sense of urgency.
- Ability to keep accurate records, prepare and manage files, reports, letters, and billing.
- Microsoft Office and computer skills required.
- Ability to communicate clearly verbally and in writing with internal/external staff, vendors, and clients

Preferred Skills & Experience
- 2 years of customer service experience.
- 1 year of compliance and documentation creation and implementation experience.
- Livestock and/or Agricultural background and experience.
- Certification, Verification, and Onsite Inspector experience.
- Food and/or feed processing/manufacturing facility experience.
- Experience in industries with agriculture, agri-food systems, sustainability, and/or food and beverage certifications is a plus.
- Possess a problem solving and solution-oriented approach coupled with a client focused mindset.
Physical Requirements
- Able to use standard computer keyboard on a frequent basis.
- Able to sit for up to 8 hours.
- Adequate vision to read and analyze reports, emails, and other written documents.
- Able to hear and understand spoken communications during meetings, phone calls, and presentations.
Working Conditions
- Castle Rock, CO office or remote
- Monday-Friday
- Some travel required (~10%)
