Job summary

The University of Chicago is seeking a Program Administrator to coordinate departmental seminars, conferences, and events. You will manage calendars, assist with marketing efforts, and collaborate with the Communications Specialist to maintain the department's website and social media presence.

This role reports to the Managing Director of the Chemistry department and requires strong project management, organization, and communication skills across a busy academic environment.

Qualifications

  • Bachelor’s degree or higher required in a related field.
  • 2–5 years of related work experience preferred.
  • Strong office practices and computer proficiency expected.

Responsibilities

  • Oversee departmental seminars, conferences, workshops and events.
  • Manage seminar calendar and publicity across channels.
  • Coordinate logistics for speakers: invitations, travel, accommodations, reimbursements.
  • Serve as point of contact with external speakers and guests.
  • Schedule department facilities and ensure AV equipment readiness.
  • Support budget tracking and financial processes using university systems.
  • Collaborate with Communications Specialist on website and social media tasks.
  • Provide backup support for program marketing materials and reports.
