POSITION SUMMARY
The Academic Affairs Work-Study Assistant is a Federal Work Study student employee who provides administrative, clerical, and student-support assistance to the Office of Academic Affairs. This student leader helps ensure the smooth day-to-day operation of the office by supporting faculty and staff, assisting with academic events and communications, and serving as a welcoming point of contact for students, faculty, and visitors. The role supports the Office's mission of advancing academic excellence and student success across the College.
KEY RESPONSIBILITIES
Office Operations & Administrative Support
- Provide front-desk coverage for the Office of Academic Affairs, greeting visitors and directing inquiries appropriately.
- Answer and route phone calls, emails, and walk-in requests in a professional and timely manner.
- Maintain organized physical and digital filing systems for academic records, correspondence, and office documents.
- Assist with data entry, proofreading, copying, scanning, and preparation of reports, forms, and correspondence.
- Help schedule meetings, reserve rooms, and prepare materials for faculty meetings, committees, and academic events.
Academic Support & Student Services
- Assist students with general inquiries regarding academic policies, procedures, and campus resources, referring complex questions to appropriate staff.
- Support the distribution and collection of academic forms (e.g., add/drop, course substitution, grade appeal) as directed.
- Assist with the coordination of advising events, registration support, academic workshops, and convocation-related activities.
- Help maintain confidentiality and accuracy when handling student records in compliance with FERPA.
- Assist in drafting and distributing office announcements, newsletters, and flyers to the campus community.
- Support the Office's presence on relevant bulletin boards, digital displays, and social media as assigned.
- Help promote Academic Affairs programs, deadlines, and initiatives to students and faculty.
Administrative Duties
- Complete required Federal Work Study timekeeping and documentation accurately and on time.
- Attend staff meetings, mandatory training sessions, and orientations as scheduled.
- Report any office equipment issues, supply needs, or operational concerns to the supervisor.

QUALIFICATIONS
Required:
- Must be currently enrolled as a student and meet Federal Work Study eligibility requirements (verified via Financial Aid Office).
- Maintain satisfactory academic progress (SAP) throughout the duration of employment.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook) or comparable software.
- Ability to work independently with minimal supervision during assigned shifts.
- Professional demeanor and ability to maintain confidentiality of sensitive information.
WORK SCHEDULE
- Hours will be assigned based on office needs, student availability, and Federal Work Study award limits.
- Students may work up to 20 hours per week during the academic semester; hours may not exceed the Federal Work Study award allocation.
- Shifts are available during regular office hours, generally Monday through Friday. Scheduling is coordinated with the supervisor.
- Schedule changes must be communicated at least 48 hours in advance except in cases of emergency.
- This position does not guarantee hours beyond the Federal Work Study award amount. Students must monitor their remaining balance throughout the award period.
COMPENSATION
- Hourly Rate: This position is paid at an hourly rate as established by the institution's student employment wage scale. Specific rate will be confirmed upon hire.
- Award Usage: Federal Work Study earnings are not automatically applied to tuition or fees; students receive a paycheck for hours worked.
- Timekeeping: Students are responsible for reporting hours accurately and in compliance with institutional and federal guidelines. Misreporting hours is subject to disciplinary action.
