Job summary

OneWell Health Care is seeking a Finance Assistant to support accurate payroll operations for a U.S.-based organization. The role covers payroll tax compliance, reconciliations, and reporting, coordinating with HR, Finance, and external vendors to ensure regulatory adherence.

You will work 3:00 PM to 12:00 AM Türkiye time, aligning with US ET, and support expansion into new states with robust tax processes while handling confidential payroll data.

Qualifications

• 0–5 years of experience in payroll, payroll tax, accounting, or a related field.
• Strong experience with U.S. multi-state payroll, preferably supporting employees across 10+ states.
• Strong knowledge of federal, state, and local payroll tax regulations, including withholding, unemployment taxes, and tax filings.
• Experience with multi-state payroll tax compliance and maintaining accurate employee tax jurisdictions.
• Hands-on experience with payroll systems such as ADP, Paychex, UKG, Paylocity, or similar platforms.
• Advanced proficiency in Microsoft Excel, including VLOOKUP/XLOOKUP, PivotTables, formulas, data reconciliation, and reporting.

Responsibilities

• Manage payroll tax compliance across federal, state, and local levels.
• Prepare and file payroll tax returns (Forms 941, 940, W-2, etc.).
• Monitor changes in payroll tax laws and regulations.
• Oversee multi-state tax registrations and jurisdictional compliance.
• Ensure accurate employee tax setup and withholding configurations.
• Perform payroll tax reconciliations and resolve discrepancies.
• Respond to tax notices, audits, and agency inquiries.
• Collaborate with HR, Finance, and external vendors on payroll compliance.
• Support payroll system configuration and process improvements.
• Provide guidance on payroll tax requirements and assist with new state expansions.
