Job summary

Van Cleef & Arpels is seeking a Store Design and Planning Assistant for the SEA Market to support boutique execution, refurbishment and maintenance across Singapore, Vietnam, Thailand and Malaysia. You will ensure projects are coordinated, documented, and followed up within approved timelines, budgets and Maison standards.

You will collaborate with Regional Store Planning, Retail, Visual Merchandising, boutique teams, consultants, vendors and contractors to drive smooth project implementation

Responsibilities

• Coordinate boutique design, refurbishment, and maintenance projects per timelines.
• Manage boutique maintenance including routine and extraordinary tasks.
• Maintain up‑to‑date project documentation, drawings, quotations and trackers.
• Review drawings/layouts for Maison standards and requirements.
• Track project budgets and record expenditures/quotations.
• Prepare maintenance status reports for management review.
• File and update project documentation throughout the lifecycle.
• Operate SAP, YOOBIC, MSC Security and LGSM platforms as needed.
• Support SAP-related admin tasks: purchase orders, quotations, invoices.
• Coordinate with internal teams and external partners for timely info.
• Assist with project reporting, meeting minutes and follow-up actions.
• Handle other ad-hoc duties related to Store Planning and coordination.

As Store Design and Planning Assistant for the SEA Market, you will support the Store Planning team in the coordination of boutique execution, refurbishment and maintenance across the South-East Asia market (Singapore, Vietnam, Thailand, Malaysia).

You will contribute to ensuring that projects are properly coordinated, documented and followed up according to approved timelines, budgets and Maison standards.

You will work closely with Regional Store Planning, Retail, Visual Merchandising, boutique teams, consultants, vendors, and contractors to facilitate smooth project implementation and timely resolution of project-related matters

Your main missions will be

• Support the coordination and follow-up of assigned boutique design, refurbishment, and maintenance projects according to approved timelines.
• Manage boutique maintenance, including routine and extraordinary maintenance activities.
• Maintain accurate and up-to-date project documentation, including drawings, layouts, quotations, reports, project trackers and other relevant documents.
• Support drawing and layout review, ensuring alignment with Maison standards and approved project requirements.
• Support project budget tracking and maintain accurate expenditure and quotation records within approved project budgets.
• Support the preparation of maintenance status reports for internal follow-up and management review.
• Ensure project documentation, drawings, quotations and reports are properly filed and updated throughout the project lifecycle.
• Operate relevant Maison systems and digital platforms, including SAP, YOOBIC, MSC Security and LGSM systems, according to project and operational requirements.
• Support SAP-related administrative activities, including purchase orders, quotations and invoices.
• Coordinate with internal teams and external partners to ensure all required information and documentation are available in a timely manner.
• Assist with project reporting, meeting preparation, minutes and follow-up actions.
• Coordinate and manage any other ad-hoc duties related to Store Planning and project coordination as assigned.
